Effective as of: December 1, 2004
Every person who signs for a key is informed that it is for temporary use,
and it must be returned to the office before the end of the business day.
Owners should supply a key to anyone doing long-term work.
All unit/property keys are kept in a locked key box in the Coakley Bay Administration office.
A second set of “Emergency Fire Keys” to all units is kept in a locked closet.
Key Sign-Out Policy:
For a key to be signed-out there must be previous permission granted.
Owners or property managers may leave a signed note with instructions at the office.
Those notes are kept in a compartment in the Key Control book.
When a person arrives at the office to pick-up a key,
their name is cross-checked with the note.
After establishing they have permission from the owner or property manager to take the key,
they sign-out in the Key Control book.
The following items are recorded:
Unit number and date
Printed name & signature of the person taking the key,
and the company that person is with (if applicable)
The person who authorized the key to be let-out
Time it was released & time it was returned with the initials of the person who received it
Employee Key Use:
All keys used by employees of Coakley Bay are signed in and out on a separate key log.
That log contains the unit number, date, CB employee initials, and the time it was signed out & back in.
Both key sign-out lists are maintained in the Coakley Bay admin. office.
Coakley Bay May Call The Unit Owner
If Any Key Is Not Returned.
